Event booking

Please fill out the following form along with a $100 deposit to confirm your event date with Lily Quartet. We accept e-transfers to lilystringquartet@gmail.com.

If any of the below information changes after your contract has been received by Lily Quartet, please notify us at lilystringquartet@gmail.com.

(Happy Birthday, For He’s a Jolly Good Fellow, etc.) It is not essential that all music be chosen when you send in this contract. Please have musical choices finalized one week prior to the event. If you would like a piece not on our repertoire list, please provide us with a string quartet arrangement of the song of your choice at least 2 weeks prior to your event.

TERMS & CONDITIONS OF EMPLOYMENT for Lily String Quartet

PAYMENT – A non-refundable deposit of $100.00 must accompany this contract in order to secure your date. We require that you send us the balance two (2) weeks prior to the wedding. You may pay your full balance at any time before the two-week deadline, if you wish. We will accept cash, cheque (payable to Lily Quartet) or e-transfer and will provide you with a final invoice approximately 3 weeks before your event reflecting your deposit and the balance owing.

OUTDOORS – We love to play indoors and outdoors, but cannot perform in extreme temperatures (below 15C or above 30C). Our instruments cannot be in direct sunlight, rain, snow, wind or mist. We need to be under shelter (ex. gazebo, tent, etc.) that will provide full shade and protection from the elements. We need about 10′ x 10′ of space under the shelter. This size of pop-up tent can be found for rent at numerous party- rental stores in and around Calgary.

TRAVEL – We are happy to accommodate weddings or receptions outside of Calgary city limits. Extra fees apply. Please visit lilystringquartet.com and contact us for further details as needed.

SPACE – We require a square-shaped space of 10’ x 10’. This enables us to provide you with the best possible performance. The space also needs to be free of any pedestrian traffic.

EQUIPMENT & LIGHTING – We need four chairs without arms and adequate lighting to read our music (something similar to reading a book).

BREAKS – We will play for 50 minutes, then take a 10-minute break for every booking over one hour. This ensures that we sound our best and don’t sustain any injuries. Please note that if your wedding ceremony proper (not including prelude and postlude times) is planned to last for longer than 45 minutes, or if you are late in starting your ceremony, an overtime fee of $160/15 minutes will apply. If you request us to stay past our booked time at your reception, the same overtime fee will apply. Please note that playing beyond our booked time is at our discretion and will be decided on a case-by-case basis.

REPERTOIRE – There is a repertoire list on our website. If you want something not on the list, please be in touch with us in case we have performed it recently. If it is not in our repertoire, please feel free to provide it to us! We want you to be happy. Please note that we require a string quartet arrangement of the song of your choice, usually found online. Piano, guitar or vocal scores do not, unfortunately, provide what we need for the best performance. Please have the string quartet arrangement of your choice to us at least 2 weeks prior to your event.

REHEARSAL – It has been our experience that our attendance at the wedding rehearsal is not necessary.

CANCELLATION – We require two weeks notice of cancellation. Failure to notify of cancellation prior to two (2) weeks will result in forfeiture of fees paid.

DRESS – We customarily wear all black with an occasional accent colour, but we are open to wearing different attire, if you prefer.

*In the event that a Lily Quartet member is unavailable, an official Lily Quartet substitute will be used.
